Coordinating event ground transportation for 175 onsite instructors and staff posed a persistent logistical and financial burden. Historically, the organization had deployed 45 shared rental vehicles—an arrangement that proved costly, inefficient, and cumbersome. Instructors often had to search for available keys, disrupting schedules and creating friction around grocery trips, group dinners, and weekend excursions. Legal and duty of care concerns with having instructors drive rental cars. We delivered a Managed RideShare Solution using Uber vouchers tailored for multi-day use. Each instructor received vouchers used for flexible transportation throughout the two-week period—enabling seamless access to restaurants, stores, and local attractions. Weekend excursions to theme parks and Orlando hotspots were a particular focus.
