• Private room with a TV for presentation, light bites and drinks.
• Probably around 25 people
• Ideally in back back or other central areas
• Budget is super small around $2k, so a bar or casual restaurant with a private space and a TV could work

Hello planners, we have some very important customers coming to visit us and we want to give them the red carpet treatment, they are only here for on day 10-2pm. They are high level and we are looking for a nice regional gift to give them, something they will hold onto. They are from PA. We are from NE/Boston area. We do not want to do alcohol or wine or food. We need to keep in mind they are flying and will get on a plane. Any ideas of what to give these high level executives as a thank you for visiting gift? We could use some help from this amazing community -- we are trying to source venues in Boston and SF for June and our client has little to no money. We've looked at Loft on Two in Boston - and similar locations in SF (but they are just too pricey).
1 1/2 day program
150 people in SF and 75 people in BOS
Need main presentation room + 2 small breakout rooms + space to serve lunch
If the venue has built in AV, that is a plus b/c our AV budget is super small too.

Every year for our annual event we give out a water bottle, pen, and notebook, so it’s very much expected by our execs and attendees BUT I’m trying to figure out a way to make this more sustainable. Any recs on how to encourage people bring their own water bottles or take notes electronically or something? Would be a nice to have to be able to move the budget, but mostly feels almost like a waste to give the same things each year when we have decent retention
